The role

 

We are seeking an Advisor, Indigenous Relations Planning who will act as the key liaison between Indigenous Relations senior management, the project management team and other internal teams to ensure effective coordination, communication and alignment with organizational standards and priorities. Reporting directly to the VP of Indigenous Relations, this person will oversee project planning and documentation, schedule management and agenda creation and will support the full project lifecycle. This role requires strong organizational skills and the ability to manage multiple priorities in a complex, fast-paced environment.

The responsibilities

 

  • Collaborate closely with the assigned team member to support the coordination of  initiatives to advance the Indigenous Relations strategy, ensuring effective communication among senior management and peers, and alignment with organizational standards and priorities.
  • Prepare presentations, draft documents and create the agenda for the Indigenous Relations Team;
  • Feed the Master schedule for the project in collaboration with the Project Management Team;  
  • Support project lifecycle activities, including contract administration, invoice processing, project closeout, archiving, Boréalis engagement tool, tracking and overall reporting to senior management;
  • Organize and maintain Indigenous Relations Shared Drives, ensuring proper version control and accessibility; plan and document team meetings, circulate minutes, and track follow-up actions to maintain accountability;
  • Advise and support team members on methodologies, tools, and best practices specific Indigenous relations consultation and engagement management.

 

The requirements 

 

  • Minimum 5 years of professional experience as a project coordinator, preferably with exposure to Indigenous relations, infrastructure, or construction projects.
  • Bachelor’s degree in Indigenous studies, public or business administration, social sciences or a relevant field.
  • Demonstrated ability to manage multiple priorities simultaneously.
  • Bilingualism (French and English) preferred.

  • Communication: Excellent written and verbal skills in both French and English, with the ability to prepare high-quality materials and presentations.
  • Collaboration: Strong collaboration and interpersonal skills and ability to work effectively with diverse internal and external stakeholders.
  • Results-Oriented: Proven ability to deliver on priorities, improve outcomes, and add value under tight deadlines.
  • Analytical & Organizational Skills: Strong ability to manage complex schedules, budgets, and reporting requirements.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite including Ms Project or equivalent and MS PowerPoint is essential; knowledge of Microsoft Visio is an asset; familiarity with other project management tools as well as financial tracking systems such as SAP, Oracle.
  • Knowledge of Indigenous Relations: Strong understanding of Indigenous governance structures and the priorities of Indigenous communities in the Quebec and Ontario regions is an asset.
  • Government & Regulatory Awareness: Familiarity with government objectives, mandates, and reporting requirements tied to real property projects.
