The role

 

The Coordinator, Procurement is accountable for providing proactive support, research and analysis aimed at facilitating the High-Speed Rails (HSR) corporate procurement strategies and plans. The candidate is responsible for conducting ongoing monitoring of the Corporate Procurement Mailbox, provide advance information on contract expiration and enable more strategic and informed decision-making on future procurement and contracting requirements and approaches. There is also a responsibility for conducting research and compiling information on sources of goods and services providers.

 

The responsibilities

 

  • Provides support to the Corporate Procurement team in the completion forms and other formal procurement documentations. 
  • Ensures research and data collection to provide background and support for the procurement strategy and preparation for the negotiation of contracts for goods and services.
  • Prepares, statistical or other reports for Corporate Procurement senior management and letters or memos to clients and other stakeholders. 
  • Captures necessary information on procurement activities and ensures information is accurately entered into the systems or folders to ensure proper information is provided to clients, management and other stakeholders. 
  • Assist the Corporate Procurement team by preparing Requests For (RFX) documentation, monitoring RFX submissions, as well as preparing contracts following the award to the successful external provider.
  • Monitor and proactive identification of expiry dates on contracts and multi-year agreements, prepares expiry notices, and produces information documents on contract that assist the Corporate Procurement team and Clients in making decisions on future procurement strategies.
  • Develop processes and procedures on reporting related to Procurement activities.

 

The requirements

 

  • Successful post-secondary graduation with a diploma or certificate in business administration, or an acceptable combination of education, training and experience.
  • Minimum 5 years of experience in a similar role.
  • Experience in providing research and support to the corporate procurement process.
  • Experience in collecting and analyzing data and administering procurement data in dedicated systems.
  • Experience in dealing with goods and services suppliers to liaise and coordinate documentation requirements associated with the procurement process.
  • Experience in preparing Requests For (RFX) documentation, monitoring RFX submissions, as well as preparing contracts following the award to the successful external provider.
  • Experience in writing memos and supporting in the drafting of briefing note.
  • Experience in monitoring and tracking contract agreements and informing on contract performance, expiry dates, etc. in support of future procurement planning.
  • Experience with and ERP system such as (SAP) in creating vendors, purchase requisitions, purchase orders, reporting etc.
  • Bilingual in French and English, an asset.
