Would you like to take on a stimulating, high-impact challenge?  We are looking for a Coordinator, Local Government and Community Partnerships. Please note that the candidate may be based in one of our 3 offices: Montreal, Quebec City or Toronto.

 

 

The role

 

Reporting to the Senior Director, Public and Government Relations, the Coordinator, Local Government and Community Partnerships, will play a crucial role in supporting the Public and Government Relations (PGR) team for the Alto project. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The coordinator will be responsible for various administrative duties to ensure the smooth operation of the team and effective communication with stakeholders. The individual should be able to work with minimal direction and exercising strong initiative, judgment and confidentiality.

 

The responsibilities

 

  • Assist in the preparation of internal and external communications, including drafting emails, memos, and correspondence.
  • Maintain contact lists, databases of stakeholders, and control boards.
  • Assist in the creation, editing, and formatting of documents, presentations, and reports; maintain an organized filing system for easy retrieval of information.
  • Coordinate and schedule meetings, prepare meeting agendas, and take minutes, ensuring timely distribution of meeting materials and follow-up on action items.
  • Support the PGR team in building and maintaining positive relationships with internal stakeholders (GoC, TC, other teams), community members and government agencies.
  • Provide administrative support to the Ontario and Quebec Senior Directors, for PGR, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Assist in the planning and coordination of community engagement events, stakeholder meetings, and public consultations, including venue selection, logistics, and coordination of materials.
  • Conduct research and gather information on community and stakeholder engagement best practices, industry trends, and relevant regulations and provide summaries and analysis to support decision-making.

 

The requirements

 

  • 2 to 3 years of experience in an administrative support or coordination role.
  • College diploma in a related field such as political science, communications, business administration, etc.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills (bilingualism is a requirement).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and ability to maintain confidentiality.
  • Ability to work independently and as part of a team.
  • Knowledge of community engagement principles and practices is an asset.
